Export Salesforce Reports


In this post, I will show you how you can export an already saved Report. You can follow the steps, then adapt them to your needs and situation. In our educational library, you will find related videos on how to create then enrich Reports and Dashboards as well as how to schedule and subscribe to them.


Now, follow these simple steps to quickly export already saved Reports in Salesforce.


Let's get started!


In this example, going on my screen, I have a Marketing report that I generated previously. In this Marketing report, I have five columns: first name, last name, title, the account name, and the email of the contacts.

For these contacts, there is only one filter: I want to be sure that they have an email. By clicking on the funnel, I will see my filters and you will see that they all have an email. This is important because I want to send them emails, for example, a newsletter.

Now I want to export this report to import it into my other platform where I can send the emails. This step can be automated with third-party applications that synchronize with Salesforce.


To export a report, I want to go to the top right corner where the arrow is, then go and click on Export.

Here there are multiple options for how I can format the report. On the Export window, if I just want to have a list with the filters, I will keep it as-is, Formatted Report, and click on Export.

Since I have thousands of contacts, this might take a few seconds...

Once the file is ready, you'll see it either in your download folder or at the bottom of your screen.


If I open the Excel spreadsheet, you will see, first,

  • the name of the report,

  • when it was created,

  • the filters that I used.

And you have the list of the report, with the columns.


If I want to transfer this information to, again, another platform, I might need just a CSV file. To do so, I will do the same steps, but I will then make a small modification. In the Export window, I will click on Details Only and choose the CSV format, then Export.

I will not touch the encoding because, by default, usually that's what we want.

This usually takes much less time…


Now you see the CSV file, which can then be uploaded into a different app.

These are the ways you can export your report and use them, format them, transfer them, or just use them once in a while, for yourself.
